How We Use AI

MDP Bookkeeping uses commercial artificial intelligence tools to help us serve you more efficiently. This page explains what that means in plain language. The governing terms are in your client engagement agreement; this page is a summary, not a substitute for that agreement. Where an engagement agreement references this page, it is incorporated into that agreement by reference.

Why we use AI

  • Faster turnaround. Routine categorization, reconciliation prep, and answers to common questions move faster, so you’re not waiting as long for your books to be current.
  • Fewer errors in repetitive work. The same coding rules get applied the same way every time, which cuts down on the kind of inconsistency that creeps into manual, high-volume categorization.
  • Deeper, more consistent analysis. AI can help us look across a full data set for patterns or anomalies worth flagging, rather than just the transactions that happen to catch a reviewer’s eye.
  • More time for the relationship side of the work. Time saved on repetitive tasks goes back into the high-touch, relationship-driven service that’s always been our approach.

Every one of these still runs through the same rule: AI assists, it doesn’t decide, and a person reviews the result before it reaches you.

What AI helps with

We currently use Claude, provided by Anthropic under its Claude for Work commercial terms, to assist with tasks like:

  • Organizing and reviewing documents
  • Categorizing transactions
  • Drafting routine correspondence
  • Research on bookkeeping and accounting questions

Every Output Is Reviewed By a Human

AI tools assist with the work. They do not replace it. Everything AI touches is reviewed by David or Michelle before it’s used or delivered to you, the same way it would be if a staff member had drafted it.

What AI does have access to

In the course of everyday bookkeeping, AI tools may see the kind of financial detail that’s core to the work itself: your chart of accounts, transaction descriptions and categories, account balances, vendor and customer names, and financial statement line items. This is normal and expected, the same way it would be if a staff member were doing the task by hand. It’s processed only through our business-tier AI account, never a free or personal one, and every output is reviewed before it’s used or delivered.

What we never put into an AI tool

We do not enter Social Security numbers, EINs, full account numbers, or card numbers into any AI tool, regardless of the task.

How Your Data Is Handled

Anthropic’s published policies for commercial customers confirm that, by default, it does not use data submitted through Claude for Work to train its models. We have not opted into any program that would change that.

How We Update This Page

Our tools and practices will keep evolving, so this page will too. Updates are posted here with a revised “Last updated” date, the same way we handle updates to our Terms of Use.

For clients whose engagement agreement incorporates this page: a change that adds a new category of data we process, removes a protection described above, or changes a tool’s data-training posture is a material change. We’ll email you at least 30 days before a material change takes effect. If you’d rather not continue under the updated terms, you’re free to end the engagement under your agreement’s standard terms; continuing after the effective date means you’ve accepted the update.

For clients whose engagement agreement does not reference this page: your engagement agreement is the sole source of truth for your engagement. Updates to this page do not change your existing agreement, and nothing here modifies its terms unless you separately sign something that says so.

For general visitors and prospective clients, continued use of this site after an update indicates your acceptance of the revised page, consistent with our Terms of Use.
